Privacy Policy
How Avantafile Systems Corp. collects, uses, and protects personal information — and how we treat the filing documents our clients entrust to us.

Who we are
Avantafile Systems Corp. ("Avantafile," "we," "us") is a SEC EDGAR, XBRL, and SEDAR+ filing agent based in Vancouver, British Columbia, serving clients across Canada and the United States. This policy describes what information we collect through this website (avantafile.com) and in the course of providing our filing services, how we use it, and the choices you have.

Information we collect
Contact information you give us. When you email or call us, or request a quote, we receive the information you provide — typically your name, company, email address, and phone number, along with the details of your request.
Client documents. To prepare and submit filings, clients send us documents that may contain personal information (for example, officer and director names in a Form 10-K, or insider details in a Form 4). We use these documents solely to prepare, proof, and submit the filings you instruct us to make. See "Confidentiality of client documents" below.
Website usage data. Like most websites, we use Google Analytics (GA4) and Google Ads conversion tracking, which set cookies and collect information such as pages visited, approximate location (city level), device and browser type, and how you arrived at our site (for example, from a Google ad). We use this in aggregate to understand how the site is used and whether our advertising works. We do not use this data to identify you personally.
How we use information
- To respond to your inquiries and provide quotes;
- To prepare, proof, and submit the filings you engage us for, and to invoice for that work;
- To communicate about deadlines, proofs, and filing confirmations;
- To measure and improve our website and advertising.
We do not sell personal information, and we do not send marketing email lists — our communications are about your filings.
Confidentiality of client documents
We routinely handle material, non-public information — draft financial statements, press releases, and other disclosure — before it is filed. We treat all client documents as strictly confidential: they are used only by the personnel preparing your filing, are not shared with any third party except the regulator you instruct us to file with (SEC/EDGAR, SEDAR+, or SEDI), and are not disclosed until they become public through your filing.
Cookies, analytics & advertising
This site uses Google Analytics 4 to understand site usage and Google Ads conversion tracking to measure our advertising. These Google services set cookies and process usage data on our behalf; Google's handling of that data is described in Google's Privacy Policy and "How Google uses information from sites that use its services."
Your choices:
- Block or delete cookies in your browser settings — the site works fine without them;
- Install the Google Analytics opt-out browser add-on;
- Manage ad personalization at Google Ads Settings.
We do not use any other third-party trackers, social media pixels, or data brokers.
Sharing & retention
We share information only with: (a) the securities regulators and systems you instruct us to file with; (b) service providers that support our operations (such as Google for the analytics described above), who may process it only for us; and (c) authorities where the law requires it. We never sell or rent personal information.
We retain client records and correspondence as long as needed to support your filings and meet our legal and accounting obligations, then dispose of them securely. Analytics data is retained under Google Analytics' standard retention settings.
Your rights
Under Canadian privacy law (PIPEDA and, for Quebec residents, the Act respecting the protection of personal information in the private sector), you may request access to the personal information we hold about you, ask us to correct it, or withdraw consent to its use (subject to legal and contractual limits). U.S. residents may make equivalent requests and we will honour them on the same basis.

Changes to this policy
If we change this policy, we will post the updated version here with a new effective date. Material changes to how we handle client documents will be communicated to active clients directly.
